Does Unified Inbox synchronise across multiple devices?

Yes, your account information is stored on a central server so no matter which device you use to access your account, it will always be completely up to date.

How do I sync inboxes between computers?

Your messages are accessible on any web-enabled device. Syncing between computers is not an issue.

What devices can you use to access Unified Inbox?

Unified Inbox is currently available as a browser app and an iphone app.

Is Unified Inbox compatible with Macs and PCs?

Can it run on Windows, Linux and Apple operating systems?  Yes. Unified Inbox is platform and (OS) operating system independent.

Can I access Unified Inbox on my mobile device?

Yes, Unified Inbox is currently available as an iphone app.

How do I set-up my email accounts?

Login to your Unified Inbox account. At the bottom right of your screen you will see a small cog symbol, called Config.

Click on this and choose “Connections“.

At the top of your screen,choose the Email icon. You will be prompted for the information required to connect to this email address.

Once this information is entered, you can start giving users permission to use this email account.

How do I add user permissions?

Login to your Unified Inbox account. At the bottom right of your screen you will see a small cog symbol, called Config.

Click on this and choose “Connections”.

Next to each connection for which you have Admin rights there will be a Permissions button. The email account or connection you wish to give people access to will be pre-selected. Next choose the people and the type of access you want them to have. You can choose from read – write – delete – move and admin access rights.

You can choose to add a personal note that will be included in the automated email sent to the user to notify them of their right to use this connection.

How do I add, edit or delete users?

Login to your Unified Inbox account. At the bottom right of your screen you will see a small cog symbol, called Config.

Click on this and choose “Users”. Note, if this is not visible, you have not been given rights to add Users.

A dialog box will appear allowing you to change basic settings of existing users, invite new users or remove/delete users from your team. To add new team members, simply enter their details in the form and click the button. You can make the user an admin (which means they have full access) or normal user.

You will also specify whether that user will have the right to add new Connections, Folders and Users.

If the person you are adding will not be using Unified Inbox as their main message client, then it is a good idea to tick “notify on assign”. This means they will be get an email when messages are assigned to them.

Please note that before you can delete a user, all messages and elements assigned to this user must be transferred to a different team member. Deleting a user is final and there is no undo. You can always create the same user again but it will be as if a new user has been setup and you will have to share connections afresh.

How do I connect to other apps?

Login to your Unified Inbox account. At the bottom right of your screen you will see a small cog symbol, called Config.

Click on this and choose “Connections”.

At the top of your screen, click the icon for the type of connection you want to add.

You will be taken to the site and asked to give permission for Unified Inbox to access your information. We will not have access to the password or any login details you may have to enter at this point.

If the connection is made successfully, you will be directed back to your Unified Inbox account where your Connections list will be updated and you can start giving users permission to use this connection.

How do I change my avatar?

Login to your Unified Inbox account. At the bottom right of your screen you will see a small cog symbol, called Config.

Click on this and choose “Personal Details”.

At the top right you will have the ability to Change Photo to one you  upload or choose from available social media avatars. Remember the image will be small so it’s best to choose a simple head and shoulders shot. This image will represent you on the site.

Do I need someone from IT to install Unified Inbox?

Unified Inbox is not software to be installed on your computer. You can create your own login and as long as you have the logins and passwords for the email/webmail and other services you want to connect your Unified Inbox with, you can easily set it up yourself. No installation on your computer is required.

Do I need a VPN to set up Unified Inbox?

Toggle Content goes hereNo. Unified Inbox uses SSL (secure sockets layer) protocols to protect your messages both in and outgoing to and from your mailspace so a VPN (virtual private network) is not required.

Do I need a dedicated server to run Unified Inbox?

No. Unified Inbox is not software to be installed on your computer. It is a cloud based service. Data is stored with your email provider of choice and we handle the processing of the messages on our servers.

Can I connect Unified Inbox to a Outlook.com account?

Yes, it is possible to connect via oauth to an outlook.com email address.

Login to your Unified Inbox account, and click on the Config icon.

Go to the Connections page and  click on the Outlook.com icon at top of the page . You will be guided through the connection process.

Please note you can currently receive messages from your outlook.com account but not send.

Why aren’t my gmail messages arriving?

Some users have reported authorisation failures when connecting to their Gmail account (as an email). When this happens we suggest following the advice given by Gmail support.

When logging into your Google account you may see this message.

You will need to work through this process with Google before they will allow your Unified Inbox account to fetch your messages

A second option is to connect via oauth (rather than as an email). To do this, click on the Gmail icon on your Connections page, rather than the email icon. You will be guided through the connection process.

Advanced

If you’ve tried the steps above and your gmail messages are not arriving, you may need to make sure your messages are visible to IMAP requests.

For Unified Inbox to be able to access the account, the ‘All Mail’ label needs to be accessible via IMAP.
You can toggle this via ‘Settings’ > ‘Labels’ tab > ‘All Mail’ > ‘Show in IMAP’ checkbox inside their gmail account.”

Can I connect Unified Inbox to a Yahoo account?

Yes, Unified Inbox can be connected to a Yahoo account. Please make sure the following server settings are used.

Incoming IMAP server
imap.mail.yahoo.com
SSL
Port – 993

Outgoing SMTP server
smtp.mail.yahoo.com
SSL
Port – 465

How do I generate a Basecamp Authentication Token?

To add a connection to a Basecamp account, you must have a Basecamp URL and anauthentication token. Both of these can be obtained from Basecamp.

  1. Login to your Basecamp Account.
  2. At the top right of your screen, you will see a My Info link. Click on this.
  3. Halfway down the page is a section on Authentication tokens. Click on Show Tokens. You need to copy the token for the project you wish to link Unified Inbox with. If you have only one project, then there will be only one Basecamp API token. Paste this token in the Connection Wizard of Unified Inbox.
  4. The URL of your project will show at the top of page, in the address window. It will begin https:// followed by your project name xxxxxxx, then .basecamphq.com eg: https://xxxxxx.basecamphq.com Copy this and paste it into the Connection Wizard of Unified Inbox.

Do I need to do anything after changing Twitter password?

I’ve just changed my Twitter password. What do I need to do to update my Unified Inbox connection with my Twitter account?

Answer: Absolutely nothing :)

The beauty of connecting to your account is that the connection remains through password changes, and it is only if you Revoke Access that you will need to setup the connection again.

How do I set up a new connection?

To add a new connection – click on the Config icon in the bottom right of your screen.

Choose Connections from the menu. Choose the connection type you want to add from the set of icons at the top of the page and follow the prompts.

How do I delete a connection?

To delete a connection – click on the Config icon in the bottom right of your screen.

Choose Connections from the menu. As long as you have Admin rights to the connection, you will see a Details button next to it. Click on this button and you will see a Delete button in the popup window.

What is a message?

A message is any sort of communication – email, twitter, facebook or others – that comes in or out of your Unified Inbox (it does not include internal comments about these messages).

Does Unified Inbox ‘push’ messages?

You have the option to have messages ‘pushed’ to your main grid and to your Desktop as a notification.

To setup your notifications, go to the Config icon

and choose Settings.

  1. Choose which messages you want counted as “new” (this only applies if you have access to team connections).
  2. Make sure you have ticked that you do want to notified
  3. Turn on the desktop notifications.

What does “new” mean?
For people who are working with team connections, we wanted to make sure the notifications were relevant to you, so you decide what counts as a “New” message. “New” could mean:

  • only messages to a personal connection
  • personal connections and messages from a shared connection that a team has assigned specifically to you or
  • all connections, whether shared or personal.

Can I add an attachment to my emails?

Yes. You can upload files from your computer to any outgoing email message.

If you are using the Quick Reply widget you can drag and drop files and this will attach them to your reply. Or by using the paper clip icon you can add files from your local computer or any Dropbox account you have connected to your Unified Inbox account.

If you are using the Compose window you can attach files from your  local computer or any Dropbox account you have connected to your Unified Inbox account by using the Attachments button near the top of your screen.

Can I add attachments to my Comments

Yes, you can drag and drop files onto your Team widget and assign them to a team member or you can use the paperclip icon to attach a file from your local computer or any Dropbox account you have connected to your Unified Inbox account.

How are characters counted for posting to Twitter

Unified Inbox gives you a count of what Twitter will recognise. This includes:

  • all characters plus
  • 22 characters for any urls included (this is the length Twitter will count them as)
